SCENARIO AND BACKGROUND
Your project team has recently completed a successful major project. Your Director wants to assign the next potential project to your team. A decision has not been made about which project your company will agree to deliver. You, the Project Manager, have been asked to evaluate two potential projects and based on the evaluation process, identify and select the most feasible project to deliver and profitable.
After several meetings with the project sponsor of each project, it was discovered that the organisations of the two project sponsors have the following in common:
- They deliberately want to increase revenue and maintain profitability;
- They believe that managing costs must be prioritised and one of the critical success factors;
- They promote efficiency and pay detailed attention in balance the budget;
- They are quality focused, providing best service, reliable product/service and intend to achieve and improve customer satisfaction;
- They ensure compliance, improve reporting and transparency.

Colour Run Finish Festival
About The Color Run:
The Color Run, the world’s first COLOR 5k™ event, was founded in March 2011 as an event to promote healthiness and happiness by bringing the community together to participate in the “Happiest 5k on the Planet”. The Color Run is the original paint race and has created a completely new genre of COLOR DASH™ running events that continues to grow exponentially. Now the single largest event series in the world, The Color Run has exploded since their debut event. The event has more than exceeded the expected , now hosting events in over 200 cities and 40 countries every year.
After Color Runners complete the race, the fun continues with an unforgettable Finish Festival. This larger than life party is equipped with music, dancing and massive color throws, which create millions of vivid color combinations.

About The Color Finish Festival:
The following year’s Finish Festival is scheduled to take place at a bigger venue, such as the size of the FNB Stadium in Johannesburg or Moses Mabhida Stadium in Durban. The following factors should be considered when planning the project:
- Stage, stage décor and lights, music equipment etc.;
- DJ, MCs and speakers;
- Line-up of artists (local);
- Food and beverages kiosks and catering for staff and guests;
- Security (stage, entrance and venue);
- Cleaners, waste disposal points, toilets and ablution facilities.
The following is part of the scope of the project:
- You will be responsible for the coordination and project management of the Finish Festival.
The guidelines for hosting a music festival are available on Mashall Music website at: https://www.marshallmusic.co.za/planning-a-successful-music-festival/. Use as much information as possible to finalise the following information about planning the Finish Festival:
- Layout and stage;
- The facilities;
- Food and drinks;
- Contingency plans;
- Booking acts;
- Physical work;
- Staff of the day;
- Post-event maintenance.
- You will not be responsible for running the festival. The Color run will run the program of the day. In addition, they are responsible for the following project activities:
- Sponsorship;
- Marketing and Social Media;
- Licensing for the outdoor event.

After Party/ Gala Celebration
Your team runs a large events management enterprise. You have decided to take on the hosting of the “After Party/ Gala Celebration” event for the Comrades Marathon Association®. Thus far, you have received the following information about the association and the event:
- The event will become an annual event and therefore the arrangement and hosting of the event must ensure that the association’s mission and values are carefully considered and adhered to. These are found in the marathon website available at:
http://www.comrades.com/about and any other additional information about the marathon race can be found on their website available at: http://www.comrades.com/
- The event only takes a day and takes place a day after the Comrades Marathon®.
- The event is envisaged to cater for not more than 500 individuals in the Durban ICC venue or similar. The following is noted about the attendees: o Up to 5% are international guests from Athletics Bodies; o Up to 15% are local guests from Athletics Bodies;
- Up to 50% are invited local athletes, celebrities and media guests;
- Previous winners of the marathon;
- Sponsors;
- Charity associations.
- The event includes the following featured items:
- An address from the Chairman of Board of Directors;
- An address from a Guest Speaker;
- Dinner;
- Photo shoot;
- A few stalls for Sporting exhibitions.
- The floor plan is left to you for designing and implementation following a tight schedule (seating plan, stall operations and the running of the event).
- Security (door entrance, parking and the surroundings) is of great importance.
- Credentials and identification props are left to be arranged by your team.
- All guests still need to be invited. International guests will need to be transported to and from the event.
